Position Description

Seeking Senior Administrative Assistant for a contract position.

Responsible for two primary functions:

1. Direct support of the SVP, Internal Audit
2. Global support of the following Audit department functions:
(a) Issuance of: quarterly Audit Committee reports, Internal Audit reports to financial and operational leadership and reports concerning special investigations;
(b) Updates various departmental audit processes and templates, maintains Internal Audit intranet website, and is responsible for filing & records retention, coordinates departmental meetings and management action plan reporting.

Essential functions:

Internal Audit
* Plan, organize, direct and control preparation of quarterly Audit Committee Reports.
* First-round review of all global Internal Audit reports prior to Internal Audit SVP review for adherence to standard department format and processes, strict grammar review, and overall comprehension.
* Second-round review of all global Internal Audit reports including the SVP’s review notes, Tax department edits, and final issuance of reports.
* Maintain, update and prepare reports of key departmental metrics. (Sector MAPs reports)
* Owns and updates Internal Audit intranet website/audit report distribution list.
* Serve as initial liaison with Cleveland and international auditing staff with regard to questions with departmental policy or procedures.
* Serve as system administrator for department’s global audit software. Manage relationship with software provider, tests changes and/or fixes in test environment, and train global department on software as needed.
* Manage physical resources (inventory/order supplies, phones, relocations, etc.) and efficient use of P-Card for procurement of supplies, subscriptions, dues and training.
* Develop/maintain/update file systems for physical, electronic and offsite records management. (Iron Mountain)
* Perform daily interpersonal communications through phone calls, direct visitors, status updates for department.
* Run Senior Leadership and Global team meetings.
* Create documents using various software word processing, spreadsheet, database, presentation software, and web-based software.
* Assist with the processing of new hires, transfers and terminations within the department; including the set-up of desk assignment, phone, computer access, building access, etc. for Cleveland-based team.
* Serve as the SharePoint Coordinator.
* Arrange meetings, facility contracting for global department.
* Conduct research (gather information for reports/managers, etc.).
* Could be requested to accompany the financial Internal Audit team on at least one audit per year to complete financial audit testing and report observations via standard Internal Audit reporting process (i.e., act as a guest auditor).
